The Scheduling and Inventory Specialist plays a pivotal role in maintaining efficient production schedules and managing inventory control. This role ensures that production runs smoothly, materials are accounted for accurately, and inventory processes are optimized to meet organizational goals. Your primary responsibility will be to ensure the efficient scheduling of print jobs, collaborate with cross-functional teams, and maintain high-quality standards throughout the production process.
Responsibilities
Scheduling
- Understand scheduling using Technique software with future plans for deploying Print Flow
- Develop and maintain a comprehensive schedule for all print jobs, considering deadlines, production capacity, and resource availability, including reviewing/approving agency schedule requests
- Coordinate with procurement to establish production timelines and communicate project milestones
- Collaborate with the agency team to understand campaign requirements and printing specifications
- Manage and allocate resources efficiently to meet production demands
- Facilitate clear and open communication between internal teams and the agency
- Maintain accurate records of print specifications, schedules, and agency communications
- Gain a comprehensive understanding of the equipment and its capabilities
- Develop knowledge of our clients and their specific needs
- Manage reconciliation processes within the Technique system and Print Flow
- Conduct production meetings to communicate schedules, updates, and changes with team members and supervisors
- Collaborate with NV manufacturing to review and adjust schedules
- Utilize destination grids for effective manufacturing splits between facilities, establishing rules for automation when applicable
Inventory Management
- Maintain accurate inventory counts for paper, envelopes, and cards
- Create, monitor, and close out paper tickets for press runs
- Inspect incoming materials against Purchase Order specifications and process entries into inventory systems
- Conduct physical inventory (weekly, monthly, and annual audits)
- Monitor and manage material deliveries and warehouse entries for OE, cards, and paper
- Provide regular inventory reports to Planning and Procurement
- Advise and assist the Paper Procurement Specialist with inventory levels and delivery management
- Facilitate inter-company material transfers as needed
- Maintain accurate daily records of goods received, used, and scheduled for production
- Schedule and confirm delivery appointments with vendors
- Perform other duties as assigned
Light Estimating
- Learn equipment to assist with estimating on non to mid complex jobs and provide basic estimates for job costs, timelines, and resource needs based on predefined standards
Qualifications
- Bachelor’s degree in marketing, printing management, a related field, or equivalent years of practical experience
- Proven experience in print scheduling and coordination, preferably in a direct mail environment.
- Excellent communication skills
- Familiarity with printing technologies and processes
- 5+ years of scheduling experience, including knowledge of offset printing (web, sheet-fed), inline finishing operations; litho, flexo, and digital printing processes. Four-color variable inkjet experience is a plus
- Proficiency in Microsoft Office, including Outlook, Excel, and Word
